Rapid Aluminium LTD is looking for a motivated individual with the following qualities :
Female Zambian between the ages of 25 to 50.
With Receptionist / Secretarial Qualifications.
Minimum of Grade 12 pass grade.
Tech Savvy, Computer literate in Microsoft Office and Social Media.
Well-spoken and Sales / Marketing driven.
Must have strong analytical skills and excel in Scheduling and filing.
Must always be smartly dressed, presentable and have a high level of Communication etiquette.
Short hand would be an added advantage.
Any Experience in the Aluminium / construction industry will be an added advantage.
Must be able to start immediately.
Must have traceable references.
At least 5 years’ experience in a similar position.
Job Description :
Manning the switchboard and being front of office
Handling incoming phone calls and directing customer enquiries to the relevant person
Making sure the reception area is clean and welcoming to clients
Collecting customer details and directing them to the relevant person
Providing profile samples to the Clients and demonstrations / explanations of the various different Frame Designs and options.
Supporting the Directors in :
Preparation and submission of Employee contracts to the Ministry of Labour
Managing of employee personal files (both electronically and paper based)
Writing of letters, memo’s and circulars to both an internal and external audience
Taking minutes of management meetings and circulating the minutes.
Preparation of employee ID cards.
Managing the access control time and attendance system to produce the time book for all hourly paid employees.
Supporting in the management of director’s diaries including :
Booking of travel tickets
Booking of hotel accommodation / car hire
Supporting the Finance Officer in :
Time book management
Management of Overtime claims.
Local supplier payments
Daily payment receipting, banking and depositing
Supporting the Sales Officer, Maintenance Foreman and Installations Manager in :
Managing the Maintenance Team.
Managing the warranties provided for the repairs done.
Booking of appointments, maintenance appointments and site visits,
Filing of all quotations, Hand over certificates and ensuring all debts are collected.
Generation of quotations and Proforma invoices (manual and Gineri Quick quote)
Preparing of material lists and ordering of glass and Aluminium profiles and products.
Assist with Monthly Performance appraisals.
Assist with the recruitment processes of hourly paid personnel.
Planning, Arranging and organizing corporate functions, gifts, calendars, etc
Office environment and surroundings
Managing the Office Orderly to ensure as follows :
a. All Offices are clean, especially all GLASS.
b. Ensure that the Yard and Garden is tidy and presentable
Managing and Accounting for :
a. cleaning materials
b. Purchasing of office consumables and stationary.
Overseeing the IT system (server, PC’s, printers), telephone system, Cameras and security system are working efficiently and are periodically maintained
Making sure all external and internal lights are working
Making sure air-conditioning units are periodically maintained
Filing, faxing and ordering stationary and other supplies
Data inputting and management of filing
Any other Duties as instructed by Senior Management
