The Zambian Governance Foundation for Civil Society’s mandate is to strengthen local

communities and civil society capacities to unlock and utilize available and untapped resources for sustainable development.

ZGF has a strong belief that local communities have the power and resourcefulness to shape their own development without relying on external aid.

To achieve this, ZGF has been providing access to grants, capacity development and other resources to local CSOs and CBOs across Zambia, using a non-thematic approach, and working with communities to nurture community philanthropy.

ZGF now wishes to recruit an Accountant who fully subscribes to ZGF’s ethos and actively supports the programme team in advancing civil society and community development in the finance unit.

Under the supervision and guidance of the Finance Manager, the Accountant will be responsible for the accounting function involving receipts and expenditure, including general payments to meet the obligations of the organisation.

The applicant must be a member of ZICA and have 3 years of relevant experience and a Bachelor’s degree in accountancy with part II ACCA or CIMA or equivalent.

Job Title Accountant

Location : Head Office

Reports To : Finance Manager

Staff Reporting : Assistant Accountant

Purpose of job

Under the general supervision and guidance of the Finance Manager, the incumbent will be responsible for accounting function involving receipts and expenditure, including general payments to meet the obligations of ZGF.

Main duties

  • Maintains accurate books of accounts using appropriate accounting software and ensures that these are kept updated and reconciled at regular intervals
  • Reviews reconciliation inputs from subordinates and prepares accurate bank reconciliation statements for all ZGF bank accounts on a monthly and quarterly basis according to internal policies
  • Checks general payments and imprests ensuring that payments are duly authorised, accurately coded and numbered with appropriate backing sheets and relevant guidelines have been followed
  • Checks records to ensure that all receipts arising from imprest are promptly retired and monies banked according to ZGF internal administrative policy and procedures
  • Ensures that payment requests are accompanied with relevant / appropriate backing sheets, conform with ZGF financial management policy and are vetted by Internal Auditor where necessary
  • Liaises with internal Auditor for internal audits, providing the requisite records and files required for the Audit team to perform their work effectively and efficiently
  • Supervises subordinates to ensure that routine accounting operations relating to receipts and payments are performed accurately, on a timely basis and in conformance with ZGF financial management policy and practice
  • Maintains liaison with Administration on all procurements to ensure that all payments are within the budget and available funds, and that service providers are paid on time
  • Ensures that accurate records of all payments to Grant Partners are maintained and that they are accompanied by correct supporting documents including grant contracts for payments to Grant Partners
  • Checks that grant disbursements are according to approved contracts and grant conditions to enhance accountability to Cooperating Partners
  • Assists the Head of Finance to prepare various financial statements, final financial status and performance reports on quarterly and annual basis in accordance with international accounting standards
  • Prepares the payroll correctly and on a timely basis and all relevant downstream accounting entries are correctly passed
  • Participate fully in planning, performance and other organisation-wide management practices as required and provides accurate information required for performance management
  • Keeps abreast of developments in area of specialization in order to continue to provide services to the highest ethical and professional standards
  • Carries out any related tasks that the Head of Finance may from time to time reasonably request
  • Education and training : Bachelor’s degree in accountancy with part ACCA or CIMA or equivalent; member of ZICA

    Decision-making : Planning for work in the area usually within clearly defined financial management guidelines Discretion around work routines in the area

    Work complexity / Problem solving : Receipts and payments, bank reconciliation, accounting entries and records, prepares financial reports

    Responsibility for resources : Responsible for accounting equipment and records.

    Representation : Interacts with staff at all levels in the course of duties

    Work experience : 3 years relevant experience required.

    Physical work environment : Office environment.
